Essential Duties and Responsibilities

Payroll/HRIS duties:
  1. Oversee electronic Time & Attendance process. Processes and performs all payroll related duties.
  2. Assists Department Directors with corrections
  3. Builds file for direct deposit and transmits up-to-date payroll.
  4. Runs final reports and maintains filing of reports.
  5. Processes, maintains and creates necessary payroll reports for each reporting period as appropriate.
  6. Maintains all payroll & HRIS tables and controls in ADP
  7. Processes all employee changes not automated in ADP
  8. Tests, maintains, inspects automated system outputs, and updates all payroll software
  9. Responsible for all benefits-records administration.
  10. Submits electronic file feed to appropriate insurance vendors
  11. Coordinates COBRA benefit information and payments for health and dental insurance.
  12. Assists with coordination of FMLA
  13. Assists with ACA required reporting for health insurance coverage (1095C forms).
  14. Maintains and reconciles payroll deductions with applicable benefits invoices
  15. Accumulates statistical and financial data for inclusion in various surveys and health-care informational databases
  16. Assists with various audits, as needed.
  17. Maintains feed files to ensure employee information interfaces with various databases i.e., LMS.
  18. Assists with year-end preparation for facility audits.
  19. Data Analytics: Uses Excel with pivot tables to extract organize and analyze payroll data into meaningful reports.
  20. Responds to inquiries and requests from other departments in a courteous and professional manner while maintaining the confidentiality.
  21. Resolves problems within level of expertise and experience and/or reports them to the Compensation and Benefits Coordinator and VP HR when appropriate.
Oversee the following performed by ADP company:
  1. Prepare payroll, vouchers, journal entries, and all tax payments.
  2. Processes electronic deposits for payroll to local bank, tax form 941 and state tax deposits
  3. Prepares, distributes, and submits all quarterly reports and W-2s
  4. Prepares and files all government reports, assuring the forms are correctly computed and mailed to meet required deadlines
Other Duties as Assigned:
  1. May assist with preparation of monthly physician productivity and bonus reports
  2. May assist in completing of the yearly pension file upload Administers pension benefits, 401(k) contributions and 457 retirement programs, including discrimination testing
Educational Qualifications:
  • Minimum High School Diploma or General Education Degree (GED)
  • Associates degree in finance, business preferred
Skills Required:
  • Strong analytical, customer service and communication skills
  • Ability to handle data with great accuracy and speed
  • Three years of experience administering payroll (use of ADP preferred)
Work Relationship:
  • Reports directly to the VP Human Resources
  • Frequent contact with employees
