POSITION SUMMARY: Provides advanced and confidential administrative support to the President/CEO, CFO and Board of Directors.

Essential Duties and Responsibilities

  1. Serves as liaison between the CEO's office and other departments. Provides and obtains information for the CEO.
  2. Performs secretarial/clerical functions including, but not limited to: handling correspondence, screening phone calls, copying and collating, and distributing information as directed.
  3. Anticipates, gathers, and prepares materials needed by supervisor. Contacts other departments to follow-up on information and report requests.
  4. Schedules and maintains calendar of appointments for President/CEO; coordinates and travel or related arrangements as needed.
  5. Coordinates meeting arrangements for the Board of Directors; prepares and distributes agenda. Takes meeting minutes; types, distributes, and files appropriately.
  6. Resolves telephone and visitor inquiries and complaints as appropriate.
  7. Coordinates the resources of other administrative assistants to assure appropriate coverage and project completion.
  8. Handles incoming/outgoing mail by distributing, routing, and filing as required.
  9. Maintains accurate and efficient follow-up system and organizes all files accordingly.

Educational Qualifications:

  • Associate's degree from a two-year college or technical school.
  • 3-5 years related experience or equivalent combination of education and experience.
  • Working knowledge of Microsoft Office Suite.
  • Types with speed and accuracy.

Work Relationship:

  • Reports directly to the President/CEO.
  • Works regularly with Board of Directors, vice president, department directors and administrative staff.

Working Conditions:

  • Work is performed largely in a pleasant hospital environment with minimal chance for personal injury.
  • Occasionally works near moving mechanical parts.
  • The noise level in the work environment is usually moderate.

Physical Requirements:

  • Frequently required to sit and stand.
  • Occasionally required to stoop, kneel and crouch.
  • Required to use hands to handle or feel objects, tools or controls.
  • Frequently required to lift and/or move up to 10 pounds of department supplies and equipment.
  • Occasionally required to lift and/or move up to 25 pounds of department supplies and equipment.
  • Requires specific vision abilities for far vision, near vision, depth perception, colors, accommodation and peripheral vision.
  • Vision correctable to 20/40.
